Privacy Policy
Last updated 12 October 2026
This policy explains what RocketScribe ("we", "us") collects when you use rocketscribe.ai, why, who else handles it, and the choices you have. The short version: we use your files to transcribe them for you and for nothing else. We never sell your data and never use your recordings or transcripts to train AI models.
What we collect
- Account details. Your email address and a hashed password, or your Google profile (name, email, avatar) if you sign in with Google.
- Your content. The audio and video files you upload, the audio we extract from them, the transcripts we produce, and any edits, speaker names and folders you add.
- Usage and billing. How many minutes you transcribe, your plan, and your subscription and payment status. Card details are entered on Stripe's pages and never reach our servers.
- Technical data. Your IP address, browser user agent and request logs, kept by our hosting provider for security and debugging.
How we use it
- To run the service: transcribe your files, identify speakers, store and show your results.
- To enforce plan limits and bill you.
- To send messages about your account, such as a finished transcription or a billing issue.
- To keep the service secure, prevent abuse and fix problems.
We do not run advertising or third-party analytics, and we do not use your content to train models. Staff look at your content only when you ask us to, or when needed to investigate abuse or a legal request.
Who else handles your data
We rely on a small number of carefully chosen service providers, each bound by a data processing agreement and allowed to use your data only to provide their service to us:
- Cloud infrastructure to host the app, the database and file storage.
- AI processing to run speech recognition and, when you request it, speaker identification. Your audio is used for that job only.
- Payments to process payments and manage subscriptions (Stripe).
- Email delivery to send account and notification emails.
- Sign-in with Google, if you choose "Continue with Google".
A current list of our providers is available on request. None of them may sell your data or use it to train their own models.
Some features hand your text to a service you pick, in your own browser: "Translate" opens Google Translate, and the AI prompt tools open the AI assistant you choose. That text is then covered by that service's own privacy policy. Nothing is sent until you click.
If you create a share link, anyone with the link can view that transcript until you revoke it.
How long we keep it
- Free accounts: transcripts and their media are deleted automatically 30 days after they are created.
- Paid accounts keep transcripts until you delete them. Any account can choose a shorter auto-delete window (7, 30, 90 or 365 days) on the Account page.
- Uploads that never finish are removed after two days.
- When you delete a transcript or your account, the content is removed from our database and storage right away. Encrypted backups held by our providers may take a short time longer to expire.
- We keep billing records for as long as tax and accounting law requires, even after you close your account.
Your choices and rights
- Access and export. Download all your data as a ZIP from the Account page.
- Correction. Edit transcripts and speaker names at any time; change your email by contacting us.
- Deletion. Delete individual transcripts, or your whole account, from the app.
- Objection and complaints. Depending on where you live (for example the EU, UK or California) you may have further rights, including to object to processing or to complain to your local data protection authority. Email us and we will help.
Cookies
We use one essential cookie to keep you signed in, and your browser's local storage for small preferences such as saved prompt templates. No advertising or tracking cookies.
Security
All traffic is encrypted in transit, files are stored encrypted at rest by our hosting provider, and media is served only through short-lived signed links. No system is perfectly secure, but we will tell you promptly if a breach affects your data.
Children
RocketScribe is not intended for children under 16, and we do not knowingly collect their data.
International transfers
Our providers operate globally, so your data may be processed outside your country. We rely on their standard contractual safeguards for such transfers.
Changes
If we change this policy we will update the date above, and email you before material changes take effect.
